The budget and the deposits, on the job they belong to

A planner’s budget is a spreadsheet beside the CRM until something goes wrong. In Booksui it lives on the event: each line estimated, actual and paid, grouped by category against the couple’s total, and each vendor’s deposits and instalments on a schedule that reminds you before they fall due.

Estimated, actual, paid

Every line — venue, catering, florals, music, attire, rentals and the rest — carries what it was expected to cost, what it actually cost and what has been paid. Totals per category and for the event, and the share of the couple’s budget already planned, update as you type.

One schedule per vendor

Add each vendor’s deposit, instalments and final balance with a due date and who pays it, the couple or you. Mark one paid and the budget line for that vendor shows it; the two never disagree.

Reminded before it is due

You get one email for each payment a set number of days before it is due. The couple can be reminded of the payments that are theirs, if you turn that on; nothing goes to them until you do.

Shared when you choose

Show the budget in the couple’s portal, and let them update what things actually cost when they pay some vendors themselves. Export the whole budget as a spreadsheet at any time.

How it works

  1. 1Open the event and go to Planning → Budget.
  2. 2Set the couple’s total and add a line per vendor, or one click for every vendor on the job.
  3. 3Add each vendor’s deposit and instalments under Vendor payments.
  4. 4Mark payments paid as they go; the budget and the reminders follow.

Questions

Can the couple see the budget?
Only if you turn it on for that event. They can change the actual cost of a line only if you allow that too.
Who gets the payment reminders?
You do, a set number of days before each payment is due. The couple is reminded about their own payments only if you switch that on.
Can I see what is owed across all my events?
Yes. Vendor payments lists every unpaid deposit and instalment across your events, soonest first.
