For event rental companies
Quote it, count it, deliver it, bring it back
A rental order lives on counts and windows. Booksui’s rentals pipeline runs inquiry → quote → booked → final counts → pull & prep → delivery day → pickup & check-in → deposit returned, with the client’s counts and the venue’s access on the order.
The pipeline you get on day one
These are the phases the product installs for your trade, with the first items of each checklist. Rename, reorder or edit them; nothing sends on its own.
- 1
Inquiry
Reply within four hours with stock availability for the date · Ask for the venue, the guest count and the layout · Ask what they need: furniture, tableware, linens, a tent
- 2
Quote
Send within 24 hours with every item, count and unit price · State the delivery, set-up, pickup and any after-hours fees · State the damage waiver and the security deposit
- 3
Booked
Countersign and confirm the retainer has cleared · Reserve the stock against the date · Confirm delivery and pickup windows with the venue
- 4
Final counts
Confirm the final count of every item · Confirm the floor plan and where each piece is set · Collect the balance and the security deposit
- 5
Pull & prep
Pull every item against the pull sheet · Inspect and clean each piece; swap anything chipped or marked · Press and fold the linens
- 6
Delivery day
Arrive in the delivery window and check in with the venue · Set every piece where the floor plan puts it · Walk the client or planner through what was delivered
- 7
Pickup & check-in
Collect every piece in the pickup window · Count everything back in against the pull sheet · Note and photograph any damage or missing pieces
- 8
Follow-up
Confirm the client has everything they were promised · Ask for a review while the experience is still fresh · Request permission to share photos of the set-up publicly
Quotes by the item
Chairs, linens, tables, tents and flooring as line items, with delivery and setup priced on their own, from wedding, party and tent quotes you start from.
Final counts with a deadline
The final-counts phase sends the client the counts questionnaire and keeps the numbers on the order, so the pull list is right before the truck is loaded.
Delivery and access, asked once
Dock, stairs, parking, the delivery window and who signs: asked for in the delivery and access questionnaire and on the order for the crew.
Damage waiver and the deposit
An event rental agreement with a damage waiver addendum; the deposit written into it, recorded when it arrives, and its return logged after pickup.
Pickup and check-in as a phase
The pickup phase is a checklist for the count back, the damage noted and the deposit returned, so an order closes when everything is home.
Planners and venues attached
Attach the planner and the venue to the order with their contacts, so the delivery time and the final count come from one place.
Questions
- Can I price delivery and setup separately?
- Yes. Delivery, setup and pickup are their own line items beside the items you rent.
- Does Booksui track stock across orders?
- Not yet. Counts live on each order and its pull list; Booksui does not hold a stock count across orders today. If live availability across many items is what you need, a dedicated rental inventory tool is the better fit.
- Is there a trial?
- Yes: 14 days on any plan, card on file, nothing charged until it ends.
