For wedding photographers
Built for the wedding photographer first
Every other tool on this site’s comparison pages was built for someone else and adapted. Booksui starts with the wedding: the inquiry that mentions a date and a venue, the retainer that holds it, the timeline, the culling, the gallery, the album.
The pipeline you get on day one
These are the phases the product installs for your trade, with the first items of each checklist. Rename, reorder or edit them; nothing sends on its own.
- 1
Inquiry
Reply within four hours — booking rates fall sharply after the first day · Confirm date, location, and whether the date is still open · Ask what drew them to your work
- 2
Consultation
Walk through the day hour by hour, not just the coverage total · Establish who else is involved — planner, venue, other vendors · Surface family dynamics and must-have people early
- 3
Proposal
Send within 24 hours of the consultation, while interest is highest · Lead with the collection that fits, not the cheapest · Show what is included rather than a list of hours
- 4
Booked
Countersign the contract and send the client a copy · Confirm the retainer has cleared, not just been promised · Put the date in every calendar you actually look at
- 5
Prep
Send the questionnaire four to six weeks out · Build the shot list from their answers, not a generic template · Confirm the timeline with the planner and venue in writing
- 6
Shoot day
Arrive early enough to be set up before the first moment · Back up cards before leaving the venue — never travel with one copy · Work the shot list, then work the moments it does not cover
- 7
Culling & editing
Ingest to two drives before deleting anything from a card · Send a small preview within 48 hours — it buys patience for the rest · Cull first, edit second; do not edit frames that will not ship
- 8
Delivery
Confirm the balance is settled before the gallery goes out · Check the gallery on a phone, which is where it will be opened · Set download permissions and expiry deliberately
- 9
Follow-up
Confirm the client has everything they were promised · Ask for a review while the experience is still fresh · Request permission to share a few images publicly
The inquiry arrives with its wedding attached
Date, venue, guest count and the budget the couple stated are read from your form and shown beside the reply box, with whether anything else is on your books that day. A first reply is drafted from that and your price list; you edit and send once.
Booked means booked
A proposal built from your packages becomes a contract the couple signs on their phone, with the retainer paid on the same page into your own Stripe. The pipeline moves to Booked when your rule is met, not when a PDF went out.
Delivery from the same job
The gallery is the last phase of the record that started with the inquiry: proofing, favorites, downloads, print and album offers from your price sheet, and search by what is in the photo.
The rest of the wedding team, in the same account
A second shooter has a contract template; a videographer, DJ or planner on your team gets a pipeline in their own language on the same client records.
Questions
- Does Booksui replace my gallery product?
- Yes for new deliveries. Past galleries import as links on each client.
- Will it tell couples I am available?
- No. It shows you what is booked and when your calendar last synced; you confirm the date.
- Can I import from my current tool?
- HoneyBook, Studio Ninja and Táve have dedicated imports; Pixieset, Pic-Time and ShootProof import clients with gallery links; anything else by CSV.
