When a client says “I never saw it”, look it up

Disputes are about who did what, and when. Booksui writes it down as it happens: the client opened the contract on Tuesday at 9:14 PM from an iPhone in Austin, signed it at 9:20, opened the gallery on the 3rd. The Evidence log keeps that record for every studio, in order, and it cannot be changed afterwards.

What is recorded

Client actions on contracts, proposals, invoices, galleries, file transfers, questionnaires, bookings and the client portal, and the studio’s own sends, edits, voids and payments. Each entry has the time, the IP address, the device and the approximate place.

Honest about who looked

When you open your own client link to check it, the entry says it was the studio, not the client. Corporate email scanners that open links before people do are marked as automated, so “they opened it” is never overstated.

It cannot be edited

The database timestamps each entry itself and chains it to the one before with a hash, per studio. Nothing can be changed or removed, and the log checks the chain every time you open it or export it.

Signatures

A signature records the typed name and email, the time, the IP address and device, and a fingerprint of the exact version signed. When two people sign one contract, each signature is recorded on its own.

Find it and export it

Settings → Evidence log filters by kind of record, by record, by words and by dates, and exports what you see as a spreadsheet with both hashes and the result of the chain check. Each contract, proposal, invoice and gallery also shows its own history.

Honest limits

  • It records what happens in Booksui from the day the log began (September 2026). History imported from another system has no entries.
  • The place is approximate: it comes from the IP address, not from the client’s device.
  • It is a record, not legal advice. Whether it settles a dispute is for the people deciding it.

Questions

Can I delete or edit an entry?
No. Nobody can, including Booksui staff working through the app. That is what makes it worth showing someone.
Does it slow anything down for my clients?
No. If writing an entry ever fails, the client’s action still goes through and the failure is logged for us.
Is it on every plan?
Yes. Every studio has its Evidence log.
