Creating your account

Sign up at booksui.com with your email and a password, and click the confirmation link we send you. No credit card required. The free Starter plan includes 10 GB storage, 2 galleries, 1 booking page, 1 file transfer a month, 10 AI actions a month, 2 automations, 1 team member, 10 active inquiries, 10 bookings a month and 5 proposals · 5 contracts · 10 invoices.

Choosing your profession

During onboarding, choose your trade: photographer, videographer, DJ, planner or coordinator, florist, lighting and AV, rentals, or hair and makeup (or other). Booksui sets your navigation labels, pipeline phases, templates and job tools from it: a florist gets recipes and final numbers, a hair and makeup artist the chair schedule, a lighting company the venue and load-in questions. You can change it later in Settings, and add a second trade if you work in two.

Navigating the dashboard

Your dashboard shows key metrics at a glance: upcoming sessions, pending invoices, recent inquiries, and revenue. The sidebar organizes your work into Inquiries, Sessions, Jobs, Paperwork, Delivery, and more.

Importing contacts

Import your existing contacts via CSV upload. Go to Contacts and click Import. Map your CSV columns to Booksui fields (first name, last name, email, phone, etc.). Booksui will deduplicate by email address and merge any existing records.

Setting up your brand profile

Go to Settings > Branding to upload your logo and set your brand color. This branding is used across proposals, contracts, invoices, photo and video galleries, booking pages, the client portal and the emails your clients receive.

Your first week, in order

Day one: fill in your brand profile with the reply-to address and signature your emails will carry. Day two: enter your packages under Money → Services & pricing: proposals read from it. Day three: put the inquiry form on your website (Settings → Forms → embed) or point your existing form at Booksui. From then on every inquiry lands in the Inbox with its event details beside the reply box.

Where things live in the sidebar

The Day: Today (what needs you), Inbox (every client conversation), Calendar. The Work: Sessions (booked appointments), Clients, Paperwork (proposals, contracts, invoices), Delivery (photo and video galleries, and file transfers). The Studio: Money, Reports, Growth (forms, referrals), Settings. Global search (⌘K) finds a client, a job or a page from anywhere.

Switching from another tool

Settings → Import. HoneyBook and Studio Ninja have their own paths that read the files those products export (Studio Ninja invoices and payments come from its payments export); Pixieset, Pic-Time and ShootProof import clients plus any gallery you download as a ZIP, as an unpublished gallery; anything else, a DJ’s or a planner’s tool included, brings its contacts from CSV. You review what will be created before it is created, and re-uploading the same file skips anyone already on file.
