A shooter cancelled: the 24-hour replacement playbook
What to do when your second shooter, DJ or assistant drops out the week of the wedding: who to call, what to say, and how to avoid it next time.

It is Wednesday night. The second shooter you booked in March has a family emergency and cannot do Saturday. The work is still due, the couple is still coming, and you have until tomorrow to fix it.
TL;DR: Replacing crew at short notice is a sequence, not a scramble. Write down the brief once, ask your saved bench first, widen to people nearby, offer the real rate, and confirm in writing. After the date, build the system so the next cancellation is a message, not a night.
The first hour
- Do not panic-post. A vague post invites forty replies and no answer.
- Write the brief once. Date, venue, hours, role, rate, call time, what the person needs to bring and what you will give them. You will use it five times.
- Check your bench. Anyone who has worked with you before and who you would trust on the day.
The next few hours
- Ask the bench by message, with the brief attached, and a reply time.
- Widen to nearby people who cover that role, using a tool that shows who is actually open on the date.
- Offer the real rate, plus a short-notice premium if you can. This is the moment a fair price saves you time.
- Say what you need back: a yes or no by a set time, so you can move on.
When someone says yes
- Confirm in writing: date, call time, address, rate, how and when they are paid.
- Send the shot list, the timeline or the music plan, and the contact on the day.
- Ask them to confirm the night before.
How do you stop it happening again?
You cannot stop cancellations. You can make them cheap:
- Keep a bench of at least two people per role you hire.
- Keep their availability and rates somewhere you can see.
- Send a crew agreement with a notice period and a plan for a replacement.
Where Booksui fits
A Crew Call turns "I need someone" into a structured request that goes to your bench, then to people in the same city or region, and can be widened to the whole country, with matching repeated every hour as people join until the reply window closes. Nothing is charged to send one.
Send a Crew Call, or create a free profile if you are the one who gets called.
