Creating invoices
Create invoices from the Invoicing section or directly from an inquiry or job. Add line items with descriptions, quantities, rates, and tax. Invoices are numbered automatically and branded with your logo and colors.
Payment schedules and instalments
Split an invoice into a payment schedule: a retainer and a balance, or as many dated payments as you need, each with its own amount and due date. Booksui tracks which payments are settled and reminds the client about each one once it is due. It works with the payment methods you already use; clients say which payment they sent and you confirm it.
Tracking payments and balances
The invoicing dashboard shows total revenue, outstanding balances, overdue amounts, and payment history. Filter invoices by status (draft, sent, viewed, partial, paid, overdue, cancelled, refunded) to manage your cash flow.
Refunds and cancellations
Cancel invoices or process refunds directly from the invoice detail page. Refunded and cancelled invoices are tracked separately from paid ones.
Payment schedules
On an invoice, open Payment schedule and pick a starting point (a 50% retainer and the balance before the event, three equal payments, or equal payments) or write the rows yourself: each payment has a label, an amount and a due date, and together they add up to the invoice. Each payment gets its own reminder once it is due. The client sees the schedule on the pay page; when they pay you by PayPal, Venmo, Zelle or bank transfer they say which payment they sent, and you confirm it.
Reminders and late fees
Overdue reminders go out while a payment is missing and stop the moment it arrives. A default late-fee rate can be set under Settings → Invoices and applied per invoice. Nothing chases a client who has paid.
Recording a payment by hand
Open the invoice → Record payment → choose cash, bank transfer or other, with the date. The invoice is marked paid and its reminders stop.
