Inquiries & Sessions

Creating sessions

Create a session from Inquiries or from a client record. Add its value, booking probability, expected booking date, and client. Sessions represent potential work moving from first inquiry toward a confirmed booking.

Inquiry stages and customization

Inquiries move through stages named for your trade: New inquiry, In contact, Proposal sent and Booked, then the stages of the work itself, such as Upcoming shoot for a photographer or Music planning for a DJ. An inquiry ends booked or not booked. Rename any stage from Settings > Inquiry stages.

Moving inquiries through stages

Drag and drop inquiries between stages on the board, or update the stage from the session detail page. Each change is recorded in the activity timeline. Use the list view for bulk updates.

Session values and booking probability

Set a value and booking probability on each session. The Inquiries view shows weighted revenue forecasts, while Insights shows conversion by stage.

Filtering and reporting on inquiries

Filter inquiries by status, stage, date range, or assigned team member. Insights shows booking velocity, conversion rates, average session value, and revenue forecasts.

What “Booked” means

An inquiry becomes Booked when your booking rule is met, by default a signed contract and a paid retainer, not when a proposal or contract is sent. You can move a job by hand from the pipeline; the move is recorded with who made it.

Phases, checklists and the message for each step

Pipeline → your trade’s phases. Entering a phase copies its checklist onto the job and offers the client message written for that moment. Edit them from the pipeline’s settings: rename, reorder, change the checklist, and switch each phase email on or off. They ship off.

A client changes the date

When a client’s message mentions a date that is not the one on file, the conversation panel shows it with two choices: Use this date (the inquiry’s date moves and the change is recorded with who confirmed it) or Not the event. Calendar holds, contracts and invoices are not changed by this: you update those deliberately.
