Adding and editing contacts

Add contacts manually from the Contacts page or let them be created automatically from inquiry forms, booking pages, and guest photo walls. Each contact record stores name, email, phone, company, address, custom fields, and a full activity timeline.

Contact types and inquiry rating

Contacts are categorized as Inquiry, Client, Past client, Vendor, or Other. Inquiry rating automatically ranks prospects based on their engagement: form submissions, email opens, proposal views, and more. Higher scores indicate warmer leads.

Importing and exporting contacts

Import contacts from a CSV file with automatic column mapping. Export your full contact list as CSV from the Contacts page or via the API at GET /api/v1/contacts/export. Exports include all fields and custom data.

Inquiry forms

Create embeddable inquiry forms from the Inquiry Forms section. Design your form with custom fields, map them to contact fields, and embed the form on your website or share a direct link. Submissions automatically create contacts and record the lead source.

Custom fields and tags

Add custom fields to contacts for data specific to your business (e.g., wedding date, venue, session type). Use tags to organize contacts into groups for filtering.

Answering an inquiry from the Inbox

Open Inbox and click the conversation. The right panel shows the event (date, venue, guest count, the budget they stated), whether anything else is on your books that day, and the one next action. Write in the box, or click Draft reply to start from a suggested draft written from your calendar and price list. It is labelled “not sent” until you send it. The To, From, reply route and subject are shown above the box. One click sends.

Private notes vs replies

The composer has two tabs: Reply to client and Private note. Each keeps its own text, so switching tabs never carries a note into an email. A private note is amber, saved with “Add internal note”, visible to your studio’s members only, and excluded from the client portal, exports and AI drafts.

When a reply is filed in the wrong place

If an email could not be matched to an existing conversation, it opens as its own thread with a “Check filing” banner. Choose the conversation it belongs to and click Move it there, or Keep as its own conversation. If two client records share an email address, the Person block offers Merge into this one; you confirm before anything is merged.

What the Inbox badge counts

The number on Inbox is the count of conversations with unread client messages. Opening a conversation clears it. “Needs reply” is separate: it shows on a conversation where the client wrote last and nobody has answered, and it only clears when you reply.
