Automations & Workflows

Creating workflows

Build workflows from the Automations section. Each workflow has a trigger (what starts it), conditions (when it should run), and actions (what it does). Common workflows: follow-up after inquiry, payment reminder, post-event thank you.

Trigger types and conditions

Triggers include: new contact created, inquiry stage changed, invoice overdue, form submitted, booking confirmed, and more. Add conditions to filter when the workflow runs (e.g., only for wedding contacts, only for deals above an amount you set).

Email automation

Send automated emails at the right time. Use email templates with merge fields (client name, event date, invoice amount). Schedule emails with delays (e.g., send 3 days after inquiry, 1 week before event).

Task automation

Automatically create tasks when triggers fire. Assign tasks to team members with due dates. Common automated tasks: send contract, prepare gear, edit the photos or the film, confirm vendor details, deliver the work.

Workflow templates

Start with pre-built workflow templates for common creative business scenarios. Templates are customizable after installation. Share workflows across team members for consistent client experiences.

Seeing what ran

Each job’s timeline lists the automations that touched it, with what they did and when. There is no hidden queue: if something emailed a client, the email is on their thread.
